Required Fields in Salesforce: When to Enforce and When to Relax
The tension in every Salesforce org: leadership wants complete data, reps want to move fast, and the CRM sits in between collecting whatever compromise emerges.
The progressive profiling approach
Stage-based requirements that ask for more data as the deal matures. At opportunity creation: Account, Amount, Close Date, Lead Source, Stage. At qualification: primary use case, decision-maker identified, budget range. At proposal: competitive details, champion name, procurement process.
Implementing in Salesforce
Use validation rules to enforce stage-specific requirements. Pair with path guidance or dynamic forms that highlight which fields need to be completed for the next stage.
Avoid making fields universally required at the object level when they are only relevant at certain stages. A universally required field forces reps to enter a value at creation even when they do not have the information, producing placeholder data worse than no data.
The AI consideration
A required field that reps satisfy with "TBD" or "N/A" is worse for an AI model than a null value. Progressive profiling reduces placeholder data by asking for information only when it is naturally available.
